Automobile Rental Procedures

Renting a Vehicle within the United States

For employees renting vehicles with the permission of the University, for University business purposes, BU’s insurance program provides the following coverages for hired and non-owned vehicles at no additional charge:

  • Automobile Liability Insurance
  • Automobile Physical Damage Insurance (aka CDW)

Please DECLINE collision damage waiver (CDW) insurance and any additional rental liability insurance that may be offered at the time of rental for:

  • Private passenger vehicles (e.g. sedans, and SUV’s)
  • Passenger vans with a capacity < 9 people (e.g. mini vans)

Please ACCEPT and purchase collision damage waiver (CDW) when renting any of the following types of vehicles:

  • Cargo vans
  • Passenger vans with a capacity > 9 people;
  • Trucks or any vehicles with an open cargo bed;
  • Motorcycles, mopeds or motorbikes;
  • Limousines, and antique or exotic cars
  • Recreational vehicles

 

IT IS STRONGLY RECOMMENDED THAT ALL VEHICLES BE RENTED USING BOSTON UNIVERSITY’S CORPORATE VISA TRAVEL CARD WITH US BANK as this will provide supplemental insurance in the event of an accident provided the rental period does not exceed fifteen (15) consecutive days.

Renting a Vehicle outside of the United States

Yes, I am renting the vehicle using my Boston University Corporate Visa Travel Card:

  • DECLINE collision damage waiver (CDW) insurance
  • ACCEPT the minimum limits of rental liability insurance that may be offered at the time of rental.

Yes, I am renting the vehicle using my Boston University Corporate Visa Travel Card in Israel, Jamaica, the Republic of Ireland, or Northern Ireland:

  • ACCEPT collision damage waiver (CDW) insurance
  • ACCEPT the minimum limits of rental liability insurance that may be offered at the time of rental.

No, I am NOT renting the vehicle using my Boston University Corporate Visa Travel Card:

  • ACCEPT collision damage waiver (CDW) insurance
  • ACCEPT the minimum limits of rental liability insurance that may be offered at the time of rental.

 

In the event of an accident:

  1. Notify the rental company and local authorities with full details of the accident including:
    1. Name of other driver(s)
    2. Name of witness(es)
    3. Details of any injuries
  2. If there are injuries, ensure injured person received the proper medical treatment.
  3. If rental was procured using Boston University Corporate Visa Travel Card, call collect at 410-581-9994. The benefit administrator will answer any questions you or the auto rental company may have, then send you the claim form.
